Facilities

The Observatory secretariat manages a number of facilities for Observatory employees (scientific staffs, PhDs, postdocs, support). Main contact person for facilities is Nancy Zhou, room BE.4.02: secretaries@strw.leidenuniv.nl or ☎ 5737.

Pantries

There are three pantries within the Observatory that can be used. BW.3.38a on the third floor; BW.4.38a & BM.4.23 (Kaiser Lounge) on the fourth floor.

Each pantry is facilitated with a coffee machine, a dish washer and a fridge. The secretaries refill tea bags, dishwash tablets, dishwash liquid, sugar, creamer and dishcloth regularly.

It is the responsibility of everyone at the Observatory to keep the pantries tidy. This includes doing your own dishes, loading/unloading dishwasher and returning trays, cutlery and dishes to the canteen downstairs. Please do not leave dirty dishes and cutleries in the sink.

You can store food and drinks in the fridge. Warning: items that have passed the expiration date will be removed and thrown away.

The secretariat (room BE.4.02) has a wide range of office supplies, which you can use.

Meetings rooms

There are several meeting rooms in the Observatory area specifically for ourselves and several general purpose meeting rooms elsewhere in the building. You can either have our secretariat book you a room, our you can do it yourself.

Catering

If you need catering for your meeting, send a detailed request to secretaries@strw.leidenuniv.nl, including SAP number.

Letters & Packages

If you want to send a standard letter by regular mail, you can put it at the Reception on the ground floor. Make sure that you stick the Observatory barcode on the backside and the label with the return address on the front of your letter. These can be collected at the Secretariat.

If you need to send a package by courier, contact the Secretariat. Make sure you have a SAP number for the costs involved.

Printers

The printers locate in BW3 and BW4. The papier is refilled on a daily basis. When the printer is out of order (no paper / new toner), you can contact the secretariat secretaries@strw.leidenuniv.nl. As this is a faculty service, the secretaries need to contact the Service Desk.

Fixed Telephony

Observatory offices have one landline connected telephone per room. If you have questions about your phone number or how activate or to log into the telephone, contact Nancy Zhou secretaries@strw.leidenuniv.nl.

Access to Gorlaeus / additional access rights

The regular opening hours of Gorlaeus building are: Monday to Friday from 07:00 to 20:00.

If you need extra access to the building:
- Ask your supervisor for permission;
- You have participated in the Introduction session of the Faculty and you are aware of the safety procedures;
- Come to the Secretariat with your LU card. You will need to fill out a form to request additional access rights at the secretariat.

Extra access rights can be granted on institute level for access during work days until 23:00, and in weekends between 08:00 to 18:00 hrs. If 24 hour-access is needed, this should be discussed with the institute manager, and additional approval of the form is needed from the faculty board.

Quiet rooms

If you would like to pray or meditate, you can use one of the quiet rooms from Faculty of Science. The nearest quiet room is in room CM.1.19. You can ask the secretariat to apply for the access right to your LUcard.
