During the contract preparation period, you will receive an email from the university asking you to apply for a LU card. Please do so as soon as possible. After uploading a photo of you, there will be no confirmation sent from the system. The card should be sent within 2 weeks to your home address (only if you have a Dutch address). If your home address is outside of the Netherlands, you can collect your LU card at the Service Desk of Faculty of Science on the ground floor (near reception) on your first day. The secretariat can assist you with this.
If you need extended access to the building (weekdays until 11 pm, weekend from 8 am to 6 pm), you can obtain a request form at the Observatory secretariat after you have attended the safety instructions meeting, organized by the Faculty once a month - new employees and long term guests will automatically receive an invitation for this meeting.
If you need access to one to the Laboratories, your supervisor should contact the Institute Manager beforehand: operations@strw.leidenuniv.nl

BSN (social security) number & Dutch bank account
The Service Centre International Staff will make an appointment for you at your local town hall to register as a citizen and apply for a BSN number. You will need the BSN number to open a bank account in the Netherlands.

30% tax facility – for non-Dutch employees
Under certain conditions the first 30% of salary are tax free if you are an employee from abroad. New laptop or desktop
Discuss this with your supervisor, and send an email with specifications and SAP number to the Observatory IT Office: helpdesk@strw.leidenuniv.nl
Coffee card
New employees will be given a personal coffee card which can be used for the coffee machines in the pantries.
- In case of loss or theft, please contact the secretariat immediately.
- At the end of your contract you need to return the card to the Observatory secretariat.
Introduction program / Safety training - Faculty of Science
Newcomers will automatically receive an invitation for the introduction program and safety training from the Science Faculty secretariat by email. This event is organized once per month for all new employees of the Science Faculty, please register with the faculty secretariat.
- Safety training is mandatory for acquiring extended access to Oort/Huygens buildings and access to laboratories.
